Communications, Outreach & AI Systems

  • AI-powered voice agents or chat systems — see Section 7

Some communications may be initiated using artificial intelligence, automated dialing systems, prerecorded or synthesized voice, or workflow-based follow-up systems.

Consent to receive communications is not a condition of purchase.

You may opt out of communications at any time by:

  • Clicking the unsubscribe link in marketing emails

Consent to receive text messages

By providing your mobile phone number on our website, lead form, or during a call or conversation with us, you expressly consent to receive text messages (SMS/MMS) from Sierra Exclusive Industries LLC.

Message frequency

Message frequency varies based on your interaction with us. You will typically receive between 2 and 10 messages per month.

Rates

Message and data rates may apply. Your mobile carrier’s standard rates for SMS/MMS will apply to messages you receive from us.

Carriers are not liable for delayed or undelivered messages.

Privacy of SMS consent information

Mobile information and SMS consent data will not be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors supporting our SMS program (such as messaging platforms and CRM providers) is permitted only to deliver the service you have consented to and is subject to the same confidentiality and non-disclosure restrictions as Sierra Exclusive Industries LLC.

Not a condition of purchase

Consent to receive text messages is not required to purchase any services from us.

AI-Powered Voice, Chat & Messaging Systems

We use artificial intelligence (AI) to support and, in some cases, initiate communications with you, including:

  • AI voice agents — which may place or receive phone calls, qualify leads, and book appointments
  • AI-powered chat systems — which may respond to inquiries through our website or messaging channels
  • AI-assisted SMS and email — which may draft or send messages as part of our workflows

What happens when you interact with AI systems

  • You will be notified when you are interacting with an AI system, either verbally at the start of a call, through chat disclosure, or through other appropriate means
  • Conversations are recorded, transcribed, and stored for quality assurance, training, and service delivery
  • A human team member may review interactions and may take over the conversation at any time
  • You may request to speak with a human at any point during an AI-handled interaction

Vendors supporting our AI systems

AI voice, chat, and messaging functionality is delivered through third-party providers, which may include CRM and automation platforms (such as GoHighLevel), telephony providers, and underlying AI model providers. These vendors process conversation data on our behalf under contractual confidentiality and data protection obligations.

How conversation data is used

  • To deliver the service you are requesting (for example, booking a consultation)
  • For internal quality assurance, performance monitoring, and improvement of our own AI workflows
  • For compliance, dispute resolution, and security

We do not sell conversation content, and we do not authorize our vendors to use your conversation content to train general-purpose AI models outside the scope of delivering services to us, except where such use is inherent to the vendor’s platform and disclosed in their terms.

Outbound & Cold Outreach

We may conduct outbound business-to-business outreach, including cold calls or cold emails, where permitted by applicable law.

If you believe you were contacted in error or wish to be removed from outreach communications, you may request removal at any time by contacting us at biz@sierraexclusive.com, and we will honor such requests promptly.

§ 09

Call Recording & Monitoring

Calls are recorded

Inbound and outbound calls with Sierra Exclusive Industries LLC are recorded and may be monitored. This includes calls with our team members as well as calls handled in whole or in part by AI-powered voice systems.

Notice and consent

At the beginning of recorded calls, you will receive verbal notice that the call is being recorded. By continuing the call after receiving this notice, you consent to being recorded.

If you do not wish to be recorded, you may inform the caller at any time and the call will either stop recording or end. We comply with the recording consent laws of all applicable jurisdictions, including California’s two-party consent requirement under Penal Code § 632.

Purposes of recording

  • Quality assurance and staff training
  • Performance monitoring of AI-powered voice systems
  • Compliance and legal recordkeeping
  • Dispute resolution
  • Security and fraud prevention
  • Service delivery and follow-up

Storage, access, and retention

Call recordings are stored within our CRM and call tracking systems (currently GoHighLevel) under access controls that limit review to authorized personnel, service providers, and AI systems supporting quality assurance. Recordings are retained for up to 24 months unless a longer retention period is required for legal, compliance, or dispute resolution purposes.

Your rights

You may request access to, correction of, or deletion of recordings in which you are a participant by contacting us at biz@sierraexclusive.com.

§ 10

Advertising Platforms & Pixels

We use advertising platforms and tracking technologies to deliver, measure, and optimize marketing campaigns. These currently include, but are not limited to:

  • Meta (Facebook and Instagram) — via the Meta Pixel, Conversions API, and Meta Lead Ads
  • Google — via Google Ads, Google Analytics, and Local Services Ads conversion tracking
  • Other ad networks, analytics providers, and retargeting services we may use from time to time

What these technologies collect

When you visit our website or interact with our ads, these technologies may collect:

  • IP address, device identifiers, browser, and operating system
  • Pages viewed, buttons clicked, forms started or submitted, and time spent
  • Referring URL and UTM parameters
  • Hashed versions of information you submit (such as email and phone number) for ad matching and measurement
  • Events we specifically track, including ViewContent (when you visit key pages), Lead (when you submit a form), and Schedule (when you book a consultation)

Retargeting and audience matching

We use this information to retarget visitors with relevant advertising, build custom and lookalike audiences, and measure the performance of our advertising campaigns. Information shared with advertising platforms is governed by the privacy policies of those platforms in addition to this one.

Your choice to opt out

Payments & Financial Information

We may accept payments through third-party payment providers, including but not limited to:

  • QuickBooks
  • Venmo
  • Zelle
  • Wise (formerly TransferWise)

We do not store full payment card or banking credentials on our servers. Payment information is processed and stored by the respective third-party provider in accordance with their privacy and security policies.

We use cookies and similar technologies to:

Service providers are authorized to use personal information only as necessary to perform services for Sierra Exclusive and may not use it for their own independent purposes.

We may also disclose personal information when required by law, legal process, or a valid government request, or to protect our rights, property, or safety or that of others.

Data Retention

We retain personal information as follows:

  • Lead data (non-converted inquiries): up to 24 months from last interaction
  • Customer records: duration of the business relationship plus 7 years for tax, legal, and dispute resolution purposes
  • Call recordings and AI interaction transcripts: up to 24 months unless a longer retention period is required for legal, compliance, or dispute resolution purposes
  • Website analytics and advertising data: up to 24 months

You may request deletion of your personal information by contacting us at biz@sierraexclusive.com, subject to legal and operational requirements.

Your Privacy Choices

We respect your right to make choices about how your information is used. You may contact us at biz@sierraexclusive.com to:

  • Request a copy of the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information
